- Shippers should be EORI registered to be able to export cargo, details of how to register for an EORI number are available on our website.
- At the time of booking, we will request a container that can take the heaviest payload ; however, this cannot be guaranteed, please check the container payload before loading.
- It is the shipper’s responsibility to ensure the loading site is fully accessible, secure, insured and safe for drivers and vehicles.
- Freight Agency cannot be held liable for late arrival of containers for loading.
- Additional Charges would apply if the time took for loading a container exceeds that indicated on the initial quotation.
- Any haulage amendments/cancellations made later than 48 working hours prior to loading may incur extra charges.
- Bolt Seal to be provided by the shipper, failure to provide a seal number may incur extra costs during and after the shipping process.
- It is the responsibility of the Shipper to provide an accurate description of the cargo as well as ensuring all goods are loaded securely. Failure to do so may incur addition costs that will always be for the account of the shipper.
- If weight or volumes are different to the above, then additional charges may apply.
- Vehicles / Vehicle Parts must be fully drained of ALL fluids prior to loading. – a de-pollution certificate showing this has happened may be required on request.
- Any Motor Vehicles loaded must have a valid MOT certificate or a ‘Vehicle repairable Certificate’, which should be issued by a Certified Mechanic, which must be available on request.
- Electric and Hybrid Vehicles must be declared as Hazardous at time of booking.
- A copy of the HPI check on any Vehicle loaded may be required on request.
- ( Copies of the above 3 certificates should be readily available, and copies added inside the Container doors ).
- Containers deemed to be overweight will incur additional costs and possible penalties from Shipping Lines. In certain circumstances these extra costs can amount to very high amounts.
- Shipping instructions should be provided to Freight Agency including reference and sent within 24hrs of cargo loading to container. Late instructions may result in cargo being incorrectly manifested and addition costs.
- Marine Insurance is not included.
- Hazardous Cargo must be declared at the Quoting Booking Stage, failure to offer this information could result in heavy financial penalties. (If unsure whether cargo is classed as hazardous – please contact us to check).
- Gas bottles/Cylinders must not be loaded into a Container – This will incur heavy financial fines, and extra costs if found.
- All Electrical cargo must be fully PAT + Functionality tested by an electrician with Certification of NVQ level 3 or higher and this Testing Paperwork / Certification offered on request ( We suggest also copies of this paperwork to be taped inside the Container door ) – failure to do this could result in the shipment being Stopped for export by the EA / SEPA and incurring extra charges.
- Containers should be cleared and removed from Port of destination in a timely manner to ensure extra charges do not accumulate, any costs for non-removal could result in the costs being returned to the shipper’s account.
- Credit Terms – Cash and Documents – unless previously agreed.
- All business undertaken according to British International Freight Association (BIFA) Standard Trading Conditions 2025

Customers submitting VGM weights must ensure the declared weight is within 500 kg of the actual verified weight. Any variance above or below this tolerance may result in a charge of GBP 150.00, which may be applied retrospectively.
FAL can arrange VGM services on your behalf at a cost of GBP 35.00, should this be required.

Applicability of Quoted Collections:
- All collections quoted are only applicable to commercial collections.
- Not applicable for personal property, over-length, heavy, or hazardous cargo.

Collection Surcharge for Cargo Over 3 Metres Length
- If the cargo is over 3 meters in length, a collection surcharge will apply.
Terms for Domestic UK Cargo Moves:
- Domestic UK cargo moves are performed under RHA terms and conditions unless otherwise agreed.
Rates are based on stackable cargo only, unless otherwise specified
Acceptance of Hazardous Cargo:
- All hazardous cargo is subject to acceptance by the line and the agent at the destination.
Un-palleted cargo subject to prior acceptance
- Please contact us for confirmation of rates. Awkward, non-stackable & hazardous cargo may be subject to additional charges.
Price Terms:
- Price is to CFS at destination.
Acceptance of Jobs:
- All jobs are subject to acceptance / terms and conditions.
Responsibility for Unclaimed Cargo:
- In the unfortunate event the cargo isn’t claimed for at the destination, the booking party will be responsible for all related charges for abandonment including any arrival fees, destruction, storage, etc.
Storage Fee for Late Deliveries:
- Cargo that is delivered outside of cut off times will be charged a daily w/m storage fee.
Cancellation Policy:
- Cancellation of a booking without sufficient notice may result in wasted freight charges.
Business Transaction Terms:
- All business of the company is transacted under the current BIFA terms, a copy of which is available upon request.
Quotation Basis:
- All quotations are an indicative price based on the day’s rate of exchange. This will be subject to change according to the vessel ROE at the time of sailing. We encourage you to quote in the same format in the event of any difference between the quotation and invoice.

Freight Agency Limited may record telephone calls with customers, suppliers, partners and other business contacts for record-keeping, service quality, training, dispute resolution, operational accuracy and to ensure we provide clear and reliable freight forwarding support.
Call recordings may contain personal data, such as your name, contact details, business information, voice and details relating to your enquiry, shipment, quotation, booking or service request. We process this information in accordance with applicable UK data protection laws, including the UK GDPR and Data Protection Act 2018.
Our lawful basis for recording calls is our legitimate interest in maintaining accurate records of communications, improving our service delivery, supporting staff training, resolving queries or complaints, and protecting both our customers and our business. Where required, we may also process call recordings to comply with legal, regulatory or contractual obligations.
Call recordings are kept securely and are only accessible to authorised members of our team where there is a legitimate business reason to review them. We will not keep call recordings for longer than necessary for the purposes for which they were recorded.
